Facilities Coordinator Maternity Cover 12 Month Contract

Pertemps Aylesbury is currently recruiting for a Facilities Coordinator on a Maternity contract for 12 months for our logistics client based in Aylesbury.

The facilities coordinator will be responsible for proactively managing facilities roles within our offices based in Aylesbury. The role is tasked with ensuring an excellent working environment for the companies' employees and contractors/partners. Providing 'fit for the purpose', safe, cost effective, environmentally friendly, and compliant facilities, within agreed budget plan.

Hours: 7am-3pm or 8am-4pm

Salary: £27,000

Duties:

Property Management:
Proactively manage the relationship with the landlord and suppliers, ensuring positive relationships are maintained. Highlight any issues and request in a timely manner and help negotiate solutions that are in the company's best interest.
Ensuring that a proactive maintenance plan is followed by the company and the landlord, to ensure that the building services are fully functional, regularly liaising with the Warehouse Manager also.
Supervise and coordinate work for contractors. Check that agreed work by staff or contractors has been completely satisfactorily and follow up on any deficiencies.
Facilities Services:
Maintaining and managing the in-house services such as the reception area, security cameras, maintenance, cleaning and waste disposal and environmental activities.
Responsible for the stock of cleaning products, tea & coffee, milk etc on site.
Contract Management:
Being the point of contact for all facilities related contractor relationships, including local landlord, maintenance support and other local services.
Being responsible for the delivery against contract of our insurance policies and keeping track of renewal dates.
Investigating, identifying, and implementing improved services and cost savings.
Financial Management:
Working within the approved facilities budget, sourcing quotes, and constantly looking for
improvements on costs.
Assisting in asset and inventory management.
Maintaining accurate records of asset and asset lifecycle to ensure they are fir for purpose and identify required repair/replacement budget.
Health and Safety and Environment:
Providing and high quality, safe working environment, which is compliant with current health and safety legislation, other relevant environmental regulations, company standards and industry best practices. Locations may include off-site event locations.
Ensuring that any risk assessments relating to the office and warehouse are undertaken as necessary.
Supervising the Fire Marshalls and First Aiders ensuring there is a current, documented, tested, and communicated Evacuation Plan.
Requirements:
Strong computer literacy with a working knowledge of Microsoft Office
Hands on maintenance, property lease, contracts, and agreements
Experience in facilities services
